Subscription and billing
Price per active profile, payment due on the 1st of the month, payment methods, invoices and what to do if a payment fails.
This page explains how the Profiles Flow subscription is calculated, charged and invoiced, and what happens if a payment fails. The Subscription page is reserved for Administrators.

What is an active profile?
An active profile is a published profile that has not been disabled: this is the Enabled switch in the profile's Account tab (“The user can have a profile and their license is counted”).
- The role does not matter: a profile without access to the interface is billed if it is active.
- An employee leaves the company: disable their profile so that it is no longer counted. See Enable or disable a profile.
- Profiles created by an import or by the Active Directory module are active, and therefore counted.
Reading the Subscription page
Open Subscription in the menu. At the top, four pieces of information:
- Status: Trial, Awaiting subscription, Active, Past due, Cancelled or Suspended;
- Active profiles: the number of profiles counted today;
- Monthly amount: excl. VAT and incl. VAT, with the words “monthly minimum applied” where relevant;
- Payment method: the saved card or account, and the date of the next payment.
Below, the History lists each billed month: month, number of profiles, amount excl. VAT, amount incl. VAT, payment status and invoice.
Payment date
- The subscription is payable in advance, on the 1st of each month, based on the number of active profiles on that date.
- The first payment takes place on the 1st of the month following the end of the trial. See Free trial.
- A profile enabled or disabled during the month is taken into account at the next payment date. There is no prorated refund.
Example: 20 active profiles on May 1, you add 5 on May 10. May is charged for 20 profiles (€12.00 excl. VAT); June will be charged for 25 (€15.00 excl. VAT), if these profiles are still active on June 1.
Payment methods
Bank card or SEPA direct debit, processed by Stripe. We never see card numbers or your bank details.
To change payment method:
- Open Subscription.
- Click Change payment method.
- On Stripe's secure page, add the new card or the new IBAN, then return to Profiles Flow.
A SEPA direct debit is confirmed a few days after it is initiated.
Invoices
An invoice is issued for each paid month and sent by email. You can also find it in the History of the Subscription page: click its number, in the Invoice column, to download it. The words “Being issued” mean it will be available shortly.
If a payment fails
- The administrator is notified by email, and a notice is shown at the top of the interface. The status changes to Past due.
- You have 15 days to settle the payment. Nothing is cut off during this period.
- To settle: open Subscription, check or change your payment method, then click Pay now.
Without payment at the end of the 15 days, access is suspended:
- only the Subscription page remains accessible, to the administrator;
- public profile pages and email signature images are no longer served.
Everything is restored as soon as the amounts due are paid.
Troubleshooting
I can't see the Subscription menu
It is reserved for Administrators. See Access and roles.
The number of billed profiles is not what I expected
Count the profiles whose Enabled switch is on, as of the 1st of the month. Profiles created by import or directory synchronization are counted like the others.
Payment declined
The message “The payment did not go through” is shown: check the card (expiration date, limit) or change payment method, then click Pay now again.
