Enable or disable a profile

The Enabled toggle, its effect on billing, and what to do when an employee leaves.

The Enabled toggle in the Account tab decides whether a profile is published and counted in your subscription. It requires the Editor or Administrator role.

What the Enabled toggle does

Below the toggle, the interface sums it up: “The user can have a profile and their license is counted.”

Profile enabled Profile disabled
Profile page, signature, Wallet card published the profile page is no longer served
Sign-in to the interface possible if access is granted not possible
Billing counted as an active profile not counted
Profile record kept kept

A disabled profile stays in the Profiles list. The list's Active filter lets you show only enabled profiles, or only disabled ones.

Disable or re-enable a profile

  1. Open the profile in Profiles, Account tab.
  2. Switch the Enabled toggle.
  3. Click Save.

Re-enabling puts the profile page back online at the same address: links and QR codes already shared work again.

The effect on billing

Your subscription is calculated on the number of active profiles, that is, enabled ones, on the 1st of each month:

  • €0.60 excl. VAT per active profile per month, with a minimum of €5.00 excl. VAT per month;
  • a profile enabled or disabled during the month is taken into account at the next billing date;
  • there is no prorated refund.

Example: you disable an intern's profile on the 20th of the month. It is still counted in the current month, already paid, and is no longer counted on the 1st of the following month.

When an employee leaves

Two options:

Disable (recommended)

The profile page is no longer served, the profile is no longer billed, and the person can no longer sign in. The profile record remains available: you can re-enable it if they come back, or if the departure was a mistake.

Also remember:

  • to turn off their signature in their email client, or to close their mailbox;
  • to withdraw their paper business cards bearing their QR code, which no longer lead to their page.

Delete

  1. Open the profile.
  2. Click Delete, at the top right, then confirm.

The profile disappears from the list. The contact requests received by this employee are not deleted: they belong to the company and remain in Leads (see Leads).

With directory sync

If the Active Directory module is active, the directory is the reference: the sync automatically disables the card of a person who is no longer in the directory, and never deletes anything. Conversely, a card disabled by hand but still present in the directory is re-enabled at the next sync: remove the person from the directory instead.
